2. When These Terms Apply
These Terms and Conditions govern the relationship between Client and Serengeti Nexus Limited and apply in the following situations:
📞 Direct Bookings
When you book a trip directly with us through our website, phone, or email.
🤝 Partner Bookings
When you book through our partners acting as our sales representatives.
Important: By booking with us directly or through our partners, both parties automatically agree to be bound by these Terms and Conditions.
3. Our Warranties and Representations
We warrant and represent that:
✅ We have all necessary licenses and permits to organize Kilimanjaro climbing expeditions and wildlife safaris in Tanzania
✅ We possess relevant expertise and experience, having served over 20,000 visitors to Tanzania
✅ All our guides and consultants have professional training in their respective fields
✅ All marketing and advertising information is true and correct
✅ We are a tour operator, not a travel agency, with direct control over our adventures
🌍 Environmental & Social Responsibility
- We operate in accordance with national laws and respect human rights
- We foster a safe and inclusive work environment
- We support local community development projects
- We follow strict "leave-no-trace" protocols
- We avoid environmentally harmful practices
4. Treatment of Your Personal Information
We require certain personal information to arrange your expedition, including:

6. Booking and Payment Process
📋 Booking Process
- Contact us via email or phone
- Personal travel consultant assigned to you
- All details agreed upon
- Invoice issued for deposit payment
- Booking confirmed upon deposit receipt
💰 Payment Requirements
- Deposit: Required to confirm booking (amount varies by tour type)
- Full Payment: Due 14 days before tour commencement
- Bank Charges: All transaction fees covered by client
- Credit Cards: 3.5% surcharge applies
Important: Timely payments are essential. Failure to pay may result in booking cancellation with forfeiture of deposit.
7. Special Booking Requirements
👶 Participation of Minors
- Must be 18+ to book wildlife adventures
- Minors must be accompanied by adults
- Parents/guardians accept terms on behalf of minors
- Adult responsible for minor's conduct and liability
👥 Third-Party Bookings
- Tour leaders act as contact person for all participants
- Responsible for informing participants of terms
- Must complete payments timely and accurately
- Provide correct participant information
8. Prices and Changes
💰 Price Guarantee
Once confirmed, prices won't change except for government-mandated increases in park fees, taxes, or tourism-related payments.
Options if prices increase: Cancel for refund or agree to pay the difference.
📅 Date Changes
- Must inform us 60+ days before original start date
- New dates must be within one year of original dates
- Extra costs may apply for flight/hotel changes
- Seasonal pricing differences may apply
9. Cancellation Policy

Note: 100 USD deposit is non-refundable but transferable. Bank commissions deducted from refunds.
10. Travel Documents and Entry Requirements
📄 Passport Requirements
- Valid for 6+ months after entry
- At least 2 blank pages
- Visa required for entry
- Online application recommended

- Client responsible for all visa costs
- No refunds if entry denied
- Contact Tanzania Embassy for latest info
- Our advice is general guidance only
11. Accommodation
🏨 Hotel Accommodation
- Sharing basis in double/twin rooms for group tours
- Same-sex room sharing for solo travelers
- Single supplement available at extra cost
- Alternative hotels if original fully booked
⛺ Tented Accommodation (Kilimanjaro)
- 2 travelers per tent on sharing basis
- Same-sex tent sharing for solo climbers
- Single tent supplement available
- Single tents not possible on Marangu route
12. Fitness and Medical Requirements
💪 Physical Fitness
- Client responsible for assessing fitness level
- Medical consultation recommended if unsure
- Medical form may be required
- We may decline participation for safety reasons
🍽️ Special Requirements
- Inform us 30+ days before arrival
- Vegetarian, vegan, gluten-free, halal available
- No refunds for unaccommodated special needs
- Some facilities may be unavailable in Tanzania
13. Travel Insurance
🛡️ Mandatory Coverage
- Emergency medical expenses for personal injury
- Evacuation and repatriation
- Cancellation and curtailment
- High-altitude trekking (up to 6,000m for Kilimanjaro)
- Helicopter evacuation for mountain climbs
Important: Travel insurance is mandatory. We may disqualify you without refund if you don't have proper coverage.
14. Guide Authority and Safety
👨🏫 Guide Decisions
- Chief guide's decisions are final on all expedition matters
- Must follow all safety instructions and rules
- Guide may require descent if safety compromised
- Assistant and porters will help during descent
15. Risk Acceptance
⚠️ Adventure Travel Risks
- Remote areas with limited medical assistance
- Wildlife encounters and high-altitude risks
- Different standards from your home country
- You assume full responsibility for these risks
Release: You release us from claims arising from inherent travel risks in Tanzania.
16. Complaints and Feedback

- Contact your designated tour manager first
- We respond within 48 hours with solutions
- Escalate to senior team if unresolved
- Senior team responds within 48 hours

17. Governing Law
The laws of the United Republic of Tanzania shall apply in case of any disputes arising from these Terms and Conditions.
